If E-mails is to be triggered based on the duration of workflow with particular activity, we need to create a view for that particular duration. In the view we need to trap number of days (Eg: current date-activity approval start date). There is nothing to do with particular activity duration.

This Process Includes 3 steps:

1)      View Configuration

2)      Mail Configuration

3)      Alert Schedule Configuration

1)      View Configuration:

a.       You can configure a view from your External Views or workflow form Views.

b.      In the above screen shots you can see the views for Expiry Date (5th, 6th & 7th).

c.       We need to set condition in the view for Expiry Date column.

d.      Based on the condition we will be getting data.

2)      Mail Configuration:

a.              We need to create the mail based on our view. In the view we will be getting data which is of less than or equal to 30 days.

3)      Alert Schedule Configuration:

a.       In the alert schedule we are triggering the mail. This alert schedule will be running for every day based on our condition. If it finds any data in our view immediately it triggers E-mail for that view.
